    HOW TO for the WDEs: Hosting.

    We request that anyone wishing to host a WDE should please take part in them for at least 8 events, to ensure that they know how they are done and that they understand the Guidelines thoroughly.

    General guidelines:

    You may choose a theme for your images or simply select a variety of subjects.

    Please ensure your images are copyright-free or that you have obtained permission for their use. If necessary, stipulate an image is ‘for this WDE only’.

    It’s always good manners to give credit to the photographer and particularly if using images from the RIL.

    Be prepared in advance and have them ready in a separate file, stored on your computer. Limit the number to 10 images.

    You may wish to upload your higher resolution images to the RIL but this is up to you. For the thread, your images should be up to 800pixels in either dimension and probably around 100ppi resolution. If the file size is too large it should be automatically re-sized by WC. However, please note the following:
    It’s important that your image files are not too large as this can be a problem for those on dial-up, taking an inordinate length of time to upload.
    WC limitations are 800pixels per side and the site copes with 72dpi, 96dpi and 100dpi without problems.

    Guide and Templates for Invitation and Images Threads for WDEs.

    To eliminate confusion, and make it as easy as possible for newcomers, would all hosts please use the following format for the Invitation and Images threads?

    Your image for the invitation should be posted by the Wednesday previous to your w/end hosting and should contain the information:

    Invite, Date, Time, and theme if you have one.

    It may look like this example:

    “Please join me on (include day and date) at (time) (then your own little explanation of your invitation .. e.g. to visit my little corner of the world).

    Sample invitation:

    The time in your part of the world is EVENT TIME ANNOUNCER (WORLD CLOCK)

    You will need to enter your own location (or nearest you can get in the Event Location space!), the time you want the event to start (your own local time) …… it doesn’t matter about the finishing time, but you could include the following Friday’s date if necessary – and the title WDE and date, will suffice.:)

    When you post your Invitation, in the main forum, please make the title and date clear – e.g.

    Invitation to WDE: August 1, 2009

    Before submitting your thread, please use the arrow icon, the thread will be made a sticky and it will also be copied to the WC! Digest by one of the team.

    It will help if, after posting, you click the Report Button (red triangle, top right of the post box) and ask for the thread to be stuck.
    This goes directly to the Moderators of the forum by email and is usually picked up fairly quickly.

    By the time you are ready to post your invitation, you should have selected your images.
    Please limit these to 10 max …… the number of particpants has fallen over the past year and it seems rather onerous to ask a smaller number of hosts to find a large number of images – so 10 is the limit now!:)

    Try to think of the wide interests of the members if you can.
    You may include challenges other than reference images of course.

    Collect your images, (from your own supply or from the RIL here on WC!) in a file specific to the hosting – then you can make sure they’re ready, sized and the correct number.
    (Information about re-sizing images, compression and keeping the kb size below 200k can be found here.
    Any higher resolution refs you want added to the RIL should be loaded a few days before, to give Library staff time to process them. These images are NOT limited in size and compression ratio.

    Please don’t panic if

    - you suddenly have an emergency and cannot host: please PM as many members of the team as possible, ASAP, so we can arrange cover.

    – the problem is computer/internet related: we will post an invitation on the Wed. night.
    If it still is unresolved, we’ll post images at the weekend ……. we always have a back-up plan!:)

    Many hosts make Galleries at the end of their week.
    These are very popular, but please don’t feel obliged to make them if you don’t have the time or the wherewithall!
    If you wish to make one, there are ideas about ‘How to…’in the Hall of Fame, our subforum …. it’s a sticky with links to informative threads.

    Your Images thread.

    *** Please remember to give credit to those whose photos you use – and refrain from using any which are not Public Domain unless specific permission has been granted – thanks :thumbsup: ***

    You should be prepared to post your 10 images (or fewer) at least 30 minutes before the time of the event: please give yourself plenty of time to upload, it can take longer than 30 mins!.

    The ‘Manage Attachments’ facility, allows up to five images to be posted at a time…this is much faster, and easier, for those on dial-up.

    Text, i.e. numbering and titles for your images can be placed above the images for those using the Attachment facility.

    If you need text between images, you will need to use the Uploader tool.

    Make a New thread:

    Title: “WDE Your date: IMAGES HERE” … add the lightbulb icon.

    Please cut and paste the following text into your ‘Images Here’ opening post.

    I will be posting 10 (or fewer) images and a challenge (if you have one)…(delete text in brackets!)

    Please wait until all are uploaded before commenting – thank you.

    You have 30 minutes to make your choice and choose your materials – you may use any medium.

    For the next two hours, just go for it……then STOP!, scan or photograph your work and post it in your own new thread with your title, beginning with WDE, plus date, plus title.

    When you introduce your work, please add a description of size, medium, support (paper, canvas etc) and time taken.
    If your work is digital, we’d appreciate a description of whether it’s freehand drawing/painting, manipulated image or done using the filters available in some programmes – you could also say which programme you’ve used.
    All are acceptable but we’d like to know the “hows, whys and wherefores”!!:)

    Use WIP for any work in progress at the 2 hour mark, and MI for multiple images if other works are to be added before the following Monday.

    NB. To avoid forum flooding, please put all of your work during the weekend, for the current WDE, into a single thread: multiple threads will be merged!
    From the following TUESDAY, you may open a new thread for later work.

    You have the whole week to participate – until the next WDE starts (usually Friday). If you finish a piece after that time, please post in its own thread and try to give the date/host of that particular week – if you can!:)

    After posting your contribution, please view others’ entries and comment and encourage when you can. Unless requested, please refrain from critiquing.

    Upload Images and deliver your challenge!

    Conclude with your own closing sentence or simply say, “Enjoy!”
