We request that anyone wishing to host a WDE to please take part in them for at least 8 events, to ensure that they know how they are done and read the following Guidelines throughly.

Guidelines for Hosting a Weekend Drawing Event. by The Team

1. Select a theme.
This doesn’t need to be anything fancy; it can be a selection of images from your own collection or from the Reference Image Library of WC!; or a set of challenges to the participants based on an idea, pictures, poetry, songs, stories, colours, shapes – the list is as long as a piece of string!….You are the host, the choice is yours.

2. References.
Select your images (if using any) You may use either your own or selections from the Reference Image Library or a combination of both. (It's a good idea to acknowledge the person whose images you use) Please be prepared in advance and have them ready, in a separate file stored on your computer. Please ensure you use only non-copyright references and limit the number to between 6 and 16 images.
If you as host, do not wish to have your images considered copyright free, please state ‘For WDE use only’ in your instructions otherwise all images posted for WDE's are considered to be the same as if in the RIL...copyright free. Sometimes the host will post their pictures in the RIL in a larger format, but this is not a requirement...it's up to each host.
Images should be at 72dpi (resolution), no larger than 600pix wide, and less than 100kbs.

N.B. It's important that your image files are not too large as this can be a problem for those on dial-up, taking an inordinate length of time to upload.
Chiers, (thanks Sherry!) has kindly done some screen-captures so you can check the compression of your files before uploading.
Here are examples from PSP8 and Painter1X. Any other programs should be very similar to these. Compression is what makes the file size smaller. The higher the compression the more the quality of the jpg goes down. The settings shown here will usually leave a good quality picture!

Adobe has a save for web setting in the file menu, and PSP also has one, ie the jpeg optimizer under file/export, which may be useful.

3. Make an invitation.
Again, this does not need to be fancy – check previous invitations in the forum lists if necessary. The time of your event is your choice, however, it’s good to consider the international nature of WDEs. Just make sure the starting time is very clear and you could include a link to the World Time Zone at www.WorldTimeZone.com. Please post this invitation by Wednesday evening at the latest.

Your instructions for participants:
Since there are new people joining in each week please copy/paste the following or a link to the Participant Guidelines (http://www.wetcanvas.com/forums/showthread.php?t=241482) with your invitation
Images and/or challenges will be posted 30 minutes before the start of the event, with a title , e.g. “WDE (plus date)IMAGES HERE", and Lightbulb icon.
You have 30 minutes to make your choice and choose your materials.
For the next two hours, just go for it! Use any medium or style – it’s up to you……then STOP!, scan or photograph your work and post it in a new thread with your title, beginning with WDE, plus date, plus title.
Use WIP for any work in progress at the 2 hour mark, and MI for multiple images if other works are to be added before the following Monday.
It’s fun to all participate at the same time but not always possible! Please join in whenever you can – you have a whole week!
After posting your contribution, please view others’ entries and comment and encourage. Unless requested, please refrain from critiquing.

4. Posting Your Invitation
Please post your invitation in a new thread in the All Media Art Events Forum by Wednesday evening at the latest. This allows members time to know the event is happening, and Guides and Moderators time to organise a replacement if necessary! Please use the Arrow icon at the beginning of your invitation title line to draw attention to your thread and help others locate the invitation. It will be "stickied" as soon as possible.

5. Posting your Images / Challenges.
Start a new thread with WDE, the date and IMAGES HERE! as your title. Please use the Lightbulb icon to direct members to the thread. (this will also be "stickied" asap) The ‘Manage Attachments’ facility, allows up to five images to be posted at a time...this is faster for those on dial-up. Give yourself plenty of time to upload your references – this is important as you could take an hour or so to upload! It’s wise to ask others not to comment until all your images are posted to keep them all together...also be sure to tell them how many images you will be posting so they know when you are finished!

6. Relax!
Once you’ve completed this part, you’re free to participate yourself! Please try to see as many of the entries as possible and encourage and support the participants – particularly newcomers. This is a really nice experience – like Christmas and birthdays combined!

If for any reason you cannot host as scheduled please notify one of the Moderators or Guides as we have a back up plan.

Sometimes you can't get on the computer to tell us there is a problem and that can't be helped unless you know someone from WC that you could phone and relay a message. If you can't possibly notify us we will put a backup plan in motion....by Wednesday midnight for the invitation or if that's been posted and you can't make the appointed time for the images or challenges we will wait 30 minutes past that time to implement the backup plan.
IF YOU WISH TO UPLOAD REFS TO THE RIL EARLIER IN THE WEEK, PLEASE LET STAFF THERE KNOW WHAT THEY ARE FOR AND THEY WILL BE PROCESSED QUICKLY. If you are going to do this,do it at least 2 days before your event .Reference Image Library (http://www.wetcanvas.com/RefLib/)
